This Privacy Policy explains how Outdoor Estimates ("we," "us," or "Outdoor Estimates") collects, uses, shares, and protects information when you use our website, applications, and related services (the "Service"). It applies to contractors who use the platform, homeowners who submit projects through our Lead Network, and anyone who interacts with our marketing site.

1. Information We Collect
Information you provide directly
- Account information: name, email address, phone number, business name, owner name, and password.
- Business profile: service area zip codes, materials list, equipment list, labor rates, monthly overhead, and other configuration details.
- Customer & project data: customer names, addresses, emails, phone numbers, job descriptions, photos, designs, and any notes you enter into estimates, contracts, or invoices.
- Payment information: when you subscribe or accept a billed lead, payment-card details are collected and stored by our payment processor (Stripe). We never store full card numbers on our own servers.
- Communications: any messages you send us, including demo bookings and support requests.
- Homeowner submissions: if you use the Lead Network as a homeowner, we collect your name, contact details, project description, photos, and budget range.
Information collected automatically
- Usage data: pages visited, features used, time spent, errors encountered.
- Device information: browser type, operating system, device type, IP address (used for rate limiting and abuse prevention; only a hash is stored).
- Cookies / local storage: see Section 5.
Information from third parties
- Authentication: if you sign in with a third-party identity provider, we receive the basic profile information that provider releases to us.
- QuickBooks: if you connect your QuickBooks Online account, we receive an OAuth access token and limited account metadata (company name, realmId) to push estimates and invoices to your books. We do not store your QuickBooks login credentials.
- Stripe: we receive payment status, billing address, and a customer identifier from Stripe.
2. How We Use Information
We use the information we collect to:
- Provide, maintain, and improve the Service;
- Generate estimates, contracts, invoices, and AI proposals on your behalf;
- Match homeowners with contractors in their service area through the Lead Network;
- Process subscription billing and lead-fee charges;
- Send transactional emails (estimate emails, contract notifications, invoice payment receipts, demo confirmations);
- Detect, prevent, and respond to fraud, abuse, and security issues;
- Comply with legal obligations and enforce our Terms of Service;
- Communicate updates, marketing emails (if you have opted in), and product news;
- Conduct analytics to understand how the Service is used and improve it.
3. How We Share Information
We do not sell your personal information. We share information only as described below:
- With your customers: when you send an estimate, contract, or invoice, the recipient receives a link to view that document. The link is a long unguessable URL — anyone with the link can view that single document.
- With matched contractors (Lead Network only): if you submit a homeowner lead, your contact information is shared with the contractor matched to your zip code once they accept the lead. We do not share your information with contractors who decline.
- With third-party service providers: we use vendors who process information on our behalf under confidentiality obligations. See Section 4.
- For legal reasons: we may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Outdoor Estimates, our users, or others.
- Business transfers: if Outdoor Estimates is acquired or merged, your information may be transferred as part of that transaction subject to this Privacy Policy.
4. Third-Party Processors
The following service providers process information on our behalf to operate the Service:

Each provider has its own privacy policy governing how they handle data passed through them. Links to those policies are available on each provider's website.
5. Cookies & Local Storage
We use cookies and browser local storage to keep you signed in, remember preferences (such as form drafts and dashboard cache), and prevent abuse (rate limiting). We do not use third-party advertising cookies. You can clear cookies and local storage at any time through your browser settings, which will sign you out and remove cached drafts.
6. Data Security
We protect your information using industry-standard safeguards including TLS encryption in transit, encrypted storage at rest (provided by Google Cloud), strict Firestore security rules so users can only access their own data, and least-privilege access controls for our team. No system is perfectly secure, however. If we become aware of a security incident affecting your data, we will notify you in accordance with applicable law.
7. Data Retention
We retain your account and project data for as long as your account is active or as needed to provide the Service. After account termination, we may retain certain information for a reasonable period for legitimate business purposes, including legal compliance, dispute resolution, fraud prevention, and tax recordkeeping. Information retained by our processors (e.g., Stripe payment records) is governed by their retention policies.
You may request deletion of your account and associated data at any time — see Section 8.
8. Your Rights & Choices
Depending on where you live, you may have rights with respect to your personal information, including the right to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Delete your information (subject to legal exceptions);
- Export a portable copy of your data;
- Object to or restrict certain processing;
- Withdraw consent for marketing communications at any time.
To exercise any of these rights, email us at outdoorestimatesofficial@gmail.com with the request and the email associated with your account. We will respond within 30 days.
Account deletion can also be initiated from your Settings page.
California residents (CCPA / CPRA)
California residents have the right to know what categories of personal information we collect and disclose, the right to request deletion, the right to correct inaccurate data, and the right to non-discrimination for exercising any of these rights. We do not sell personal information.
European Economic Area, United Kingdom, and Switzerland (GDPR / UK GDPR)
If you are located in the EEA, UK, or Switzerland, the legal bases on which we rely to process your information include: performance of a contract (providing the Service you signed up for), legitimate interest (improving and securing the Service), legal obligation (tax and accounting), and consent (marketing communications). You have the right to lodge a complaint with your local data-protection authority.
9. Children's Privacy
The Service is not intended for, and we do not knowingly collect personal information from, individuals under 16. If you believe a child has submitted information to us, please contact us at outdoorestimatesofficial@gmail.com and we will delete it promptly.
10. International Users
Outdoor Estimates is operated from the United States. Our processors operate primarily in the United States and the European Union. By using the Service, you consent to the transfer and processing of your information in the United States, which may have different data-protection laws than your jurisdiction.
11. Lead Network & Homeowner Data
If you are a homeowner who submits a project through our Lead Network:
- The information you submit (name, contact details, project description, photos, budget) is shared with one approved contractor whose service area includes your zip code, once they accept the lead.
- If no contractor accepts your lead within a reasonable period, your contact information is not shared.
- Photos you upload (including any AI visualization generated from them) are stored to support the contractor in preparing a quote.
- You may request removal of your submission at any time by emailing outdoorestimatesofficial@gmail.com.
If you are a contractor who receives a homeowner lead, you agree to use the homeowner's information only to follow up on the project and to comply with all applicable laws (including the Telephone Consumer Protection Act and CAN-SPAM in the United States).
12. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be communicated through the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
